From national teams to administration, the Brazilian Table Tennis Confederation (CBTM) has automated around 100 processes, including athlete performance evaluations.

Management is a silent yet essential step behind major sporting victories. Since October 2024, the tool has been transforming how the Confederation organizes its processes and makes decisions, allowing technical teams to concentrate their efforts on athlete preparation and performance.

Before implementation, CBTM used spreadsheets to manage around 300 indicators. As demands and data complexity increased, the need for an automated and integrated solution became clear — one that would bring greater agility to decision-making, standardize information, and improve the efficiency of management processes.

The implementation of the system has led to the use of SoftExpert across all CBTM areas — from National Teams to Administration, including Communication, Governance, and Sports Sciences. The Process and Document modules have been driving structural changes: around 100 processes have already been automated, some with up to 50 activities, covering workflows like Payment Orders, Accountability Reports, and Athlete Performance Evaluation. The Document module has become essential for organizing and tracking files. Receipts and invoices are digitally attached to processes, ensuring security during internal and external audits.

Among the results already seen are the elimination of rework, centralization of information in just one platform, the standardization of processes, and time savings in report generation, which are now created automatically based on input data. This progress has directly benefited CBTM’s technical staff, who now monitor athlete performance in a structured way, with indicators and goals organized by category, age, and ranking. With automated processes and accessible reports in just a few clicks, professionals can dedicate more time to strategic preparation, optimize decisions, and increase the efficiency of sports planning.

The SoftExpert platform currently covers all CBTM areas and is used to monitor goals such as increasing the number of registered athletes (from 9,000 to 22,000 by 2028), absenteeism, financial metrics, and technical performance. In the future, the organization also plans to integrate the software with its financial and accounting systems.
